Administration/Operation Services Officer.
We are currently seeking an Administrative Assistant
Qualifications
• High school diploma or equivalent with several years of strong administrative/secretarial experience
• Ability to work as part of a team in a fast-paced environment
• Ability to handle confidential and sensitive information with discretion
• Ability and willingness to function as an office liaison and core member of team for managers and staff working off-site at client locations
• Strong telephone and organizational skills
• Ability to problem solve and provide plans or alternatives
• Self-starter with professional interpersonal skills
• Attention to detail and strong follow-up skills
• Excellent organizational skills
• Excellent communication, proofreading, and editing skills
• Excellent typing skills, proficiency In Word, Excel, PowerPoint and Outlook
Duties
• Assist with handling external and internal inquiries
• Arrange internal and external meetings and set-up conference calls
• Attend practice meetings to record minutes and action items
• Proofread and edit documents
• Finalize proposals, correspondence and special projects
• Maintain up-to-date files
• Assist with client billings and finalize in the system
• Make travel arrangements and follow-up once arrangements are finalized
• Prepare Word, Excel, and PowerPoint documents
• Process accounts payable items
• Pull and file bi-weekly accounting reports
• Monitor and file engagement letters
• Maintain daily appointment calendar
• Work productively with limited direction and/or supervision
• Prepare time and expense reports
• Prepare paperwork for staff on Continuing Professional Education (CPE) credits and forward to Human Resources Service Center (HRSC) Training
• Provide back-up support to other administrative support staff as needed
• Other tasks as assigned
